A few days before the day of the meeting, send the invited guests an invitation.
The latter must contain information such as the duration of the meeting , or the topics that will be addressed .

Do not schedule a meeting that lasts more than an hour: after 60 minutes , it is difficult to keep the attention of your colleagues.
Also, avoid inviting them to meetings before 9am and after 5pm.
If you are only four participants, you do not need to reserve a room that can accommodate twenty people.

Before starting your meeting, make a brief introduction, recalling why each participant is present.
Mention also that the opinion of each is important and that a meeting is above all a moment of exchange.
From the beginning, focus on the hottest points so that you have the full attention of your colleagues.
It is better to address the secondary and less worrying subjects at the end of the meeting , while the attention is slowly relaxing.
If the meeting is participatory, it is necessary to let each of your colleagues speak.
